Locating Expense Reports to Pay

As a payer, you can find the expense reports awaiting payment by clicking the Pay Reports tab at the top of the Expense screen next to the Digital Wallet tab.  (The Pay Reports tab appears for payers only.) 

Tip: Notifications appear at the top of the Expense page about expense reports that are awaiting your payment – you can click the notification's Pay reports link to find expense reports awaiting your payment under the Pay Reports tab.

The Pay Reports tab shows the Payment Requested Reports list. This list includes the date each report was approved, the report number, the name of the report and submitter, the approver, whether or not the report is in policy, and the amount of the report.

To search for specific expense reports based on a criteria under the Pay Reports tab, click the Filter button to set your search criteria, and then click the Filter button within the filter section to search for results. 

For example, you may want to locate all reports from the Business Development department that are greater than or equal to $100 and less than or equal to $5,000. Follow these steps:

  1.  Click Payment Requested Reports under the Pay Reports tab. 
  2.  Click the Filter button above the list of reports. The Filter section appears.
  3.  Select Business Development in the Department menu, and enter the Business Expense amount range (100 to 5000).
  4.  Click the Filter button inside the Filter section to see the results.

Tip: You can also filter the search by batch ID in the Filter section. You can not only specify multiple batch IDs individually by separating them with commas, but also specify a range of batch IDs with the first ID number and the last ID number separated by a hyphen.

The filtered result list can be sorted by clicking the list headings. For example, you can click the Report Name heading to sort by report names, the No. heading to sort by expense report number, the Submitter heading to sort by submitter name, or the Business Expenses heading to sort by amount. 

Tip: You can also export the result of a filtered search as a “.csv” (comma-separated values) file that can be opened by most spreadsheet and database programs. Click the Export button in the top right corner of the Pay Reports view. 

To clear the filter settings in the Filter section, click the Clear Filters link next to the Filter button.
