Your Profile Information 

What is my profile?

Your profile contains personal identification needed to book services. It also allows you to store preferences for services and communications. 

How do I access my profile?

To open the Profile page, either click the Profile tab at the top of the screen or click the Profile row on the right of the screen and then click Go to your Profile link.

Why is my profile important?

Using information in your profile reduces the time it takes you to arrange for services, because you don't have to enter them each time you purchase a service.

Is filling out my profile required?

Some fields are required or will be entered automatically when you receive an account. However, areas such as preferences and notfications are optional.

What personal information should I keep in my profile?

Storing information such as your legal name and address, password, preferences and loyalty programs allows us to efficiently book and manage services for you. Setting location and currency preferences allows searches for our services to return the most relevant results possible.

How do I add a credit card to my profile?

First open the Profile page by either clicking the Profile tab at the top of the screen or click the Profile row on the right of the screen and then clicking Go to your Profile link. Click your name at the top of the screen.  After the profile is open, in the personal and business information section, you can add or edit payment cards by clicking the Add or Edit button next to "Payment cards" (the Add button appears if you haven't entered a card yet). Why should I keep financial information in my profile?

Storing a payment card allows easy checkout for most transactions on our site. See Personal and Business Information for details on adding payment cards.  Payment card information is encrypted for your protection. 

Can other people access my profile?

If you grant delegate access to a co-worker, the co-worker will be able to see parts of your profile. Your birth date is not viewable by anyone other than yourself.  

Do I have to fill out my entire profile?

No, but the more information you enter, the better we can deliver customized services.

Why should I store my gender and date of birth?

The U.S. Transportation Safety Administration (TSA) requires this information when you book a U.S. flight. Storing this information in your profile allows us to enter these fields for you when you reserve a flight.

What professional information is stored in my profile?

Some of information may be entered and updated for you by your organization's HR department. This includes phone numbers, cost center, division, corporate credit cards, etc. You are also able to enter additional information, such as your travel preferences.

What are service preferences?

Examples of service preferences include airline meal preferences and loyalty numbers. Storing this information allows us to show you search results that are the most relevant to you.

Travel Preferences

How do I set my travel preferences?

Go to the Profile page by either clicking the Profile tab at the top of the screen or by clicking the Profile row on the right of the screen and then clicking Go to your Profile link. Click the Travel Preferences link on the Profile page under the Preferences section, and enter what you want for flights, hotel and car rental. Can I enter my travel membership programs in my profile?

Yes. See Service Preferences for details on how to add membership programs for air travel, hotel, car rental, and car service.

Which travel documents can I keep in my profile?

You can store your passport and visa numbers. See Service Preferences for details.

Why should I enter my passport and visa information into my profile?

Keeping your passport and visa information in your profile allows you to readily access the information should you need it. You can also schedule a notification so you can receive a reminder when a one of them is about to expire. See Service Preferences for details.

What is a Redress Number?

The U.S. Department of Homeland Security DHS Traveler Redress Inquiry Program (TRIP) is for travelers who have been repeatedly identified for additional screening and who want to file an inquiry to have erroneous information corrected in the DHS systems. Travelers may request a Redress Number assigned through DHS TRIP. It is not required for travel.

What is a Known Traveler Number?

The Known Traveler Number is a unique number assigned to a traveler who has passed a security threat assessment.

Shipping Preferences

How do I set Shipping Preferences?

Click the Shipping tab on the Home page to display the dropdown list, and select Shipping Preferences. See /wiki/spaces/EN/pages/3113073 for details.

What if I prefer a different shipping provider than my company?

Your company may have enabled the use of other shipping accounts for business-related shipments. You can add accounts to your preferences if you would like to bill shipments to a personal account, the recipient's account, or a third-party account. See /wiki/spaces/EN/pages/3113073 for details.

Delegates

What is a delegate?

A delegate has access to another person's account and can book services for the other person. See Personal and Business Information for details on how to become a delegate for someone else, or assign a delegate for yourself.  Remember, your date of birth and payment card information are not displayed to the delegate.

Who assigns a delegate?

You have the ability to assign delegates for your account. See Personal and Business Information for details. Others may also have the ability to assign delegates for you if this has been enabled by your administrator.  An email will be sent to both you and your delegate when one has been assigned to / removed from your account. 

How do I assign or become a delegate?

To open the Profile page, either click the Profile tab at the top of the screen or click the Profile row on the right of the screen and then click Go to your Profile link. The top part of the Profile page shows your personal and business information. If self-delegation has been enabled for your site, to add yourself as a delegate, click Become a delegate in the People I Can Book For section. Enter the person's email address or name and click Search.  Select the radio button beside the person to select them.  To add a delegate for yourself, click Add a delegate in the People Who Can Book For Me section. Enter the person's email address or name and click Search.  Select the radio button beside the person to select them. An email will be sent to the person notifying them of your action.  See Personal and Business Information for details. 

Can I be a delegate for someone else?

Yes.  If self-delegation has been enabled for your site, open the Profile page, either click the Profile tab at the top of the screen or click the Profile row on the right of the screen and then click Go to your Profile link. The top part of the Profile page shows your personal and business information.to add yourself as a delegate, click Become a delegate in the People I Can Book For section. Enter the person's email address or name and click Search.  Select the radio button beside the person to select them. See Personal and Business Information for details. 

Can my delegate see all my personal information?

A delegate can see your preferences and activities, but cannot see sensitive information such as birth date and payment card information.

How do I know when a delegate has booked a service for me?

You will receive the same email confirmation you would have received if you booked a service yourself. See Personal and Business Information for details. 

Notifications

What are notifications?

Notifications contain information and updates about your services. You can have them sent to you by email or mobile text. You can also have them sent to friends, family, and colleagues. See Notifications for details.

Note: Trip itinerary notifications can currently be sent only by email.

How do I add a notification?

To open the Profile page, either click the Profile tab at the top of the screen or click the Profile row on the right of the screen and then click Go to your Profile link. Click the Manage Notifications link on the Profile page under the Notifications section. Select a service or notification type, then choose how you want to receive your notification. When you select email, you will be asked to enter a valid email address. For mobile text, enter your mobile telephone number. Click Save. See Notifications for details.

How do I modify a notification?

To open the Profile page, either click the Profile tab at the top of the screen or click the Profile row on the right of the screen and then click Go to your Profile link. Click the Manage Notifications link on the Profile page under the Notifications section. The notifications you have previously set up appear on the Notifications page. Click Edit to change the way you'd like to receive a notification. See Notifications for details.

Can I get invitation notifications by mobile text?

Not at this time, invitation notifications are sent by email only.

Can I get a notifcation when a person responds to an invitation?

Yes. You can elect to receive a notification for invitations you send for services you book on this site. When you turn on the notification, you'll be asked to enter an email address. See Notifications for details.

Display Settings

What are display settings?

Display settings control how some of your choices will be displayed. They also enable you to set values for your time zone (important for booking time-sensitive services) and currency (important for purchases). See Display Settings for details.

How do I set up or modify the settings?

To open the Profile page, either click the Profile tab at the top of the screen or click the Profile row on the right of the screen and then click Go to your Profile link. Click the Display Settings link. Select your preferences and click Save. See Display Settings for details.
